Creating Hubspot associations

Welcome! Today we're covering how to create associations between Hubspot objects directly from Coldout. This feature lets you establish relationships between contacts, companies, deals, and custom objects in your CRM automatically—maintaining proper data structure and connections without manual linking. Let's walk through the complete setup.

What are Hubspot associations?

In Hubspot, associations are the relationships between different objects. For example, contacts are associated with companies, deals are associated with contacts, and companies can be associated with deals. These connections help you understand the complete picture of your relationships and enable better reporting and automation.

Creating associations manually in Hubspot is time-consuming. Coldout automates this by creating these relationships as part of your enrichment workflow.

Step 1: Connect your account

Under the "Account" section, you'll see "Hubspot key" with a Settings link. If this is your first time connecting, click Settings to authenticate your Hubspot account. Once connected, select your Hubspot account from the dropdown.

Step 2: Choose the object type

In the "Configuration" section, select which Hubspot object type you're starting from. You have three options:

Contact: Create associations starting from contact records. Use this when you want to link contacts to companies, deals, or other objects.

Deal: Create associations starting from deal records. Use this to link deals to contacts, companies, or custom objects.

Data: Create associations starting from custom objects you've created in Hubspot.

For this example, let's select "Contact" to show how to link contacts to their companies.

Step 3: Map the field

Under "Map field," you need to specify which contact you're creating the association for.

In the "Field" section, you'll see two dropdowns:

Select Hubspot attribute: This is typically the Contact ID or the unique identifier for the contact in Hubspot. Select the appropriate identifier field.

Select Coldout column: Choose which Coldout column contains the Hubspot Contact ID. If you imported from Hubspot or used a lookup enrichment, you'll have this ID in your table.

This tells Coldout which specific Hubspot contact to create the association for.

Step 4: Configure additional settings

Now expand "Additional settings" to define what to associate with and where to add the record.

Associate with Another Object

Toggle "Associate with another object" on—this is the core purpose of this feature.

Once enabled, you'll see three critical fields:

Object type: Select what type of object you want to associate the contact with.

Let's say you want to link contacts to their companies. Select "Company" from this dropdown.

Association type: Choose the specific relationship type between the objects.

The available association types depend on the objects you're connecting. Select the type that best represents the relationship.

Association Hubspot ID: Select the Coldout column that contains the Hubspot ID of the object you want to associate with.

For example, if you're linking contacts to companies, select the column containing the Hubspot Company ID.

Add to Hubspot List

Toggle "Add to Hubspot list" on if you want to add the associated records to a specific Hubspot list after creating the association.

Once enabled, select your target list from the "Hubspot list" dropdown. You'll see all your active Hubspot lists.

Step 5: Run settings

Under "Run settings," you have control over when and how associations are created.

Conditional Creation: Click "Add formula" under "Run only if this formula resolves to true" to add conditions for when to create associations.

Auto-update: Toggle "Auto-update" on to automatically create associations whenever new rows are added to your Coldout table or when data updates. With auto-update enabled, your Hubspot associations stay current as your Coldout data changes—perfect for ongoing enrichment workflows.

Wrapping up

You've now mastered creating Hubspot associations from Coldout. Connect your account, select your starting object type, map the field with the object ID, configure which object to associate with and what type of relationship, optionally add to lists, and set up conditional logic for quality control.

Your enriched data in Coldout now creates proper relationships in Hubspot automatically—contacts linked to companies, deals connected to the right stakeholders, and custom objects properly associated. This maintains clean CRM structure and enables better reporting, automation, and sales intelligence.
