Creating Hubspot objects

Welcome! Today we're covering how to create new Hubspot objects directly from Coldout. This powerful feature lets you turn enriched prospects into Hubspot contacts, deals, or custom objects automatically, seamlessly flowing your Coldout leads into your CRM. Let's walk through the complete setup.

What this feature does

After finding and enriching leads in Coldout—discovering emails, researching companies, scoring prospects, and generating personalized insights—you need to get them into Hubspot. The Create Object feature automatically creates new CRM records with all your enriched data, eliminating manual data entry and ensuring your pipeline is always full of qualified leads.

Step 1: Connect your account

Under the "Account" section, you'll see "Hubspot key" with a Settings link. If this is your first time connecting, click Settings to authenticate your Hubspot account. This creates a secure connection between Coldout and Hubspot. Once connected, select your Hubspot account from the dropdown.

Step 2: Choose what to create

In the "Configuration" section, select which Hubspot object you want to create. You have three options:

Contact: Create new contact records for prospects you've found and enriched in Coldout. This is the most common use case—turning your lead lists into CRM records with complete contact information.

Deal: Create new deal or opportunity records directly from your research. Use this when identifying potential sales opportunities that don't yet exist in your CRM.

Data: Create custom object records for specialized data structures you've built in Hubspot. This could be for tracking specific business entities unique to your organization.

For this tutorial, let's select "Contact" since that's what most teams use.

Step 3: Map your fields

This is where you specify exactly what data to include when creating the new Hubspot contact. Under "Map fields" you'll see two dropdowns for each field mapping:

Select Hubspot attribute: Choose the Hubspot property you want to populate. Common properties include Email, First Name, Last Name, Company, Phone Number, Job Title, LinkedIn URL, and any custom properties you've created in Hubspot.

Select Coldout column: Choose which Coldout column contains the data you want to write to that Hubspot property.

Here are typical field mappings:

Coldout's "First Name" → Hubspot's "First Name"

Coldout's "Last Name" → Hubspot's "Last Name"

Coldout's "Work Email" → Hubspot's "Email"

Click the "+ Add field" button to map additional fields. The more fields you map, the more complete and actionable your Hubspot records will be from the moment they're created. Don't forget to map enriched data like scores, research findings, or intent signals to custom Hubspot properties.

Step 4: Additional settings

After mapping your core fields, expand "Additional settings" to unlock powerful automation capabilities.

Toggle "Associate with another object" on to create relationships between your new contacts and existing Hubspot records. This maintains proper CRM structure and data relationships.

Once enabled, you'll see three configuration fields:

Object type: Select what type of existing Hubspot object you want to associate the new contact with. Common choices include Company (to link contacts to their companies) or Deal (to link contacts to existing opportunities).

Association type: Choose the specific relationship type. Hubspot has predefined associations like "Contact to Company," "Contact to Deal," or "Primary Contact." Select the relationship that matches your use case.

Association Hubspot ID: Select the Coldout column that contains the Hubspot ID of the existing object you want to link to. For example, if you've enriched company data and already have Hubspot Company IDs in your table, select that column here.

This feature is incredibly powerful. Imagine you're creating new contacts—by associating them with existing companies, you ensure every new contact is immediately linked to the right company record. Or if you're creating deals, you can associate them with the right contacts automatically. This keeps your CRM organized and maintains data integrity.

Toggle "Add to Hubspot list" on to automatically add newly created contacts to a specific Hubspot list. This is perfect for triggering workflows and automations the moment contacts enter your CRM.

Once enabled, you'll see the "Hubspot list" dropdown. Select which list you want to add contacts to. You'll see all your active Hubspot lists available.

Practical use cases:

- Add all new contacts to a "Coldout Imported Leads" list for tracking

- Add contacts to a "New Lead Welcome Sequence" list that triggers an automated email workflow

Once contacts are added to these lists, any Hubspot workflows tied to those lists automatically trigger—sending emails, creating tasks, assigning owners, or any other automation you've configured in Hubspot.

Step 5: Run settings

Conditional Creation: Click "Add formula" under "Run only if this formula resolves to true" to add conditions that control when contacts are created. This prevents creating incomplete or low-quality records.

Auto-update: Toggle "Auto-update" on to automatically create new Hubspot objects whenever new rows are added to your Coldout table. This creates a continuous, hands-free pipeline from Coldout enrichment directly into Hubspot.

What happens in Hubspot

Once the process completes, head over to Hubspot. You'll see your new contacts populated with all the enriched data from Coldout—verified emails, phone numbers, job titles, scores, research notes, everything you mapped.

If you set up associations, click on a contact and you'll see they're already linked to their company record. If you added them to a list, check that list and you'll see all your new contacts there, with any associated workflows already triggered.

Wrapping up
